Program Coordinator
Role Expectations
The Program Coordinator bridges the gap between organizational strategy and day-to-day execution.
This role requires overseeing administrative operations, track project milestones, and manage stakeholder communication to ensure programs scale successfully.

Reports To: Principal & Board members
Develop actionable project plans, workflows, and calendars to achieve the specific goals of the program.
Coordinate the day-to-day operations of the program to ensure it runs efficiently and meets internal standards.
Track deliverables, monitor milestones, and proactively troubleshoot any operational roadblocks.
Monitor the program budget, process expenses, and track expenditures to ensure cost-effectiveness by preparing financial statements and maintain records pertaining to program activities.
Create and update comprehensive program documentation, maintain accurate records, and prepare status reports for management.
Handle procurement, order necessary materials, and maintain inventory.
Serve as the central point of contact for staff members, participants & their parent/guardian, internal and external stakeholders.
Organize meetings and events, prepare agendas, and distribute minutes or action logs to keep staff aligned.
Assist with marketing, outreach, and promotional materials to encourage participation and organizational growth.
Collect and compile data to assist in assessing program performance and identifying areas for improvement.
Ensure all program activities comply with internal policies, legal regulations, and external funding or contract requirements.
Prepare or assist in the preparation of grant requests and funding continuation from outside sponsors.
Implement any other tasks as assigned.
Qualification
1 to 3 years of professional experience in program coordination, event planning, or nonprofit administration.
Volunteer or internship experience in the nonprofit sector is highly valued.
Organization & multitasking skills, basic book-keeping and budgeting skills.
Bachelor’s degree in nonprofit management, public administration, social work, and/or communications
